We are hiring: Administrative Assistant (maternity leave)

IPEC Europe asbl is currently seeking a maternity leave replacement for a period of 9 months starting in June for the position of Administrative Assistant. This full-time position is based in Brussels and will report to the Managing Director. 

 

JOB DESCRIPTION

  • Provide administrative support to two not-for-profit associations
  • Manage electronic and paper filing systems
  • Manage finances (in & out invoicing, petty cash, follow-up)
  • Manage LinkedIn page and website of one association
  • Manage office calendars
  • Organise and support meetings
  • Format documents and presentations
  • Answer the general office phone line and direct calls as appropriate
  • Book travel for the team
  • Manage office supplies
  • Other administrative duties as assigned

 

PROFILE

  • 1 to 3 years experience in a similar position
  • Proficiency in speaking and writing English and French, other languages an asset
  • Excellent organisational and time management skills
  • Basic knowledge of accountancy and bookkeeping
  • Proficient in MS Office (especially Word; Excel)
  • Experience with a Belgian trade association/not-for-profit organisation an asset
  • Attention to detail and problem-solving skills
  • Self-starter with ability to work independently and as part of a team
  • Excellent interpersonal skills and trustworthy
  • Willing to work in a small dynamic organisation
